TIP 16 : Outlook : Add Additional Time Zone to Outlook Calendar




In this blog we will see how to add additional time zone to the outlook calendar that will help in scheduling meetings with reference to local time zone. Also it will save time as we do not have to look for the time conversion in scheduling a meeting rather we have two time zone to take reference. Follow below mentioned steps to add additional time zone in the outlook calendar-
  • Go to file tab and chose options.



  • It will open up outlook options dialog window. Choose Calendar and scroll down in the right side panel to see time zones information. Select the check box for Show a second time zone. 
  • Add name for reference in Label input box and select the time zone from Time Zone drop down.



  • Go to Calendar to take a look at the added time zone.





TIP 15 : Outlook : Sync Facebook contacts with MS Outlook




In this blog we will learn how to keep your contacts up to date in outlook. To achieve this Microsoft Outlook has introduced an add-in called outlook social connector that can be sued to connect outlook to social networks such as LinkedIn and Facebook. Follow below mentioned steps to connect outlook to social networks –

  • Go to contacts by clicking on the contacts icon. Click on Connect to a social network link or go to View tab then click on the People Pane drop down button and choose Account Settings…



  • It will open up the Social Network Accounts window. Select LinkedIn if it is available in the list and click on Connect Button and if it is not there then click on Connect to another social network link under More, it will open the website to download and install the social media connector. Once add in is installed, restart the outlook and follow above step to sync social media contacts to Outlook.


  • Choose Facebook by clicking on the check box button and enter Facebook account credentials then click Connect.



  • Click Finish button and wait for the contacts to be synced to outlook. You will observe the Facebook folder created in My Contacts section of outlook with the synced contacts.

TIP 13 : Outlook : Go To Date Shortcut



In this blog we will see how to use keyboard shortcut to go to specific day, week, month and work week calendar in outlook.

Go to calendar in the outlook and press CTRL + G. It will open up a Go To Date pop up with date and show in drop down list.



We can select either day, week, month or work week calendar in the Show in list and specific go to date in the Date list.


TIP 12 : Outlook : Create Table Template For Quick Access




In this blog we will see how to create a table template and use it in your mails using single click action in fraction of seconds. We have many instances where we use same table structure and layout and we use copy and paste feature to add the same table to the mails which is time consuming. This blog will help you quickly access commonly used tables in your mails. 

Create a table structure and layout which you will be using as a table template. Select the entire table using cross arrow icon on top left corner of table.

Go to insert tab, then click on Quick Part icon and choose Save Selection to Quick Part Gallery.. option. It will open up a Create New Building Block pop up.


Give the name to the table template in Name property and press OK. It will add the table template in the Quick Part Gallery.


Now to use the table in your mails without recreating or using copy and paste function we can directly add the table template from the Quick Part Gallery using single mouse click button.

TIP 10 : Outlook : Create Search Folder

How To Create Search Folder in Outlook





In this blog we will see how to create a search folder in outlook to easily find the mail from specific person. There are instances when we need reference to older mail to reply to any other particular email and we spend most of the time in finding the mail. We can save time by creating search folder in Outlook. 

Search folder as such do not contains any email it just like a saved search to refer email conversations. It also segregates the mails folder-wise, emails from archive is stored under archieve header, emails from inbox are stored under inbox header.   

Follow below steps to create the search folder -
  • Right click on the Search Folders option on the left side panel of Outlook window



  • Click on New Search Folder... to create new search. It will open a pop up to select from different criteria. Select Mail from and to specific person from the list.


  • Click Choose to select sent to and receive from mail recipients for customized search folder.

  • Select the name of the person from the list to create search folder for its emails and press OK.
  •    We can see the customized search folder created under search folders section in the left hand side panel in Outlook.
